POSITION: Family Based Services (FBS) Administrative Assistant Culver City, CA
BA or BS degree preferred in social work or related field or business nonprofit business administration or two years experience in a mental health or related setting, preferably nonprofit. Minimum HS Diploma with 5 years of experience as business/office administrative staff preferably in nonprofit or medical field. Must possess a high degree of organizational skill, attention to detail, and the ability to effectively communicate with agency clients and staff. Must be self-motivated, able to work independently as well as a team member and able to meet deadlines. Proficiency in Microsoft Excel, SPSS preferred. Experience in social services and in working with computerized data based systems preferred. Bilingual preferred. Flexible schedule with at least one evening required to accommodate conducting surveys. Travel between sites.
Assists the Admin Coordinator with completion and maintenance of Family Based Services (FBS) Programs outcome measures and evaluation reports in a timely fashion including OMAs, CAFAS, WFIs and others as assigned.
Maintain programs database for FBS programs by entering data into a computerized system accurately and promptly and uploading necessary data daily, weekly or monthly based on the projects contractual obligation. This includes maintaining FSP SPA 2 and 5 census updated on an ongoing basis including respite and FSS reports.
Communicate with staff to ensure data collection documents are completed in a timely manner for input.
Manage flex fund and petty cash spending reports and supporting documentation for FSP and Wrap SPA 5 and 6; assist Admin Coordinator in liaising with Accounting Department for all FBS.
Assist FBS Managers and Supervisors in securing and procuring, when needed, tools and supplies for staffing needs, maintain records of same; assist staff directly, when necessary, in securing needed aids and supplies
Inform program director regarding challenges related to inaccurate, incomplete, or late documentation.
Contact clients via telephone to conduct follow-up surveys and coordinate with the staff contacting clients ensuring documentation and completion within the required timeframes.
Responsible for monitoring flex fund expenditures and maintaining appropriate documentation.
